Description:The Trade Show Coordinator is responsible for searching for industry trade show opportunities, providing oversight of pre-show logistical planning, executes show logistics, communicates with presenters and show personnel, and manages post show functions.
Duties:o Search for industry events which parallel the goals and objectives of HWT’s marketing plans for lead capture and branding initiatives.
o Oversee the daily workflow of ExibitForce to ensure all needed show information is being entered in and tracked for proper execution.
o Provide oversight of assigned show logistics to ensure that specs and prices are competitive and that show services ordered are appropriate and meet show requirements and HWT needs.
o Ensure all registration and submission deadlines are met, and the shipment of show kits from Cabin John to show site to facilitate timely arrival for booth staff.
o Coordinate travel and hotel arrangements for trade show staff.
o Assist where needed with staffing and presentation proposals.
o Travel onsite to shows to help manage show processes, set-up, sales, client interaction and tear down responsibilities.
Qualifications:- High school diploma or equivalent required; BA or BS strongly preferred.
- 2+ years related experience in meeting/event planning.
- Strong verbal and written communication skills
- Solid organizational skills with the ability to manage multiple projects at once while completing quality work on a timely basis and within frequent, tight, deadlines
- Ability to inspire and guide external consultants, work both independently (with direction) and with a team, excel in a rapidly changing environment.
- Strong interpersonal skills in dealing with vendors, customers, and external consultants, strong service orientation and attention to detail.
- Expertise with MS Office
- Knowledge of ACT or similar customer relationship manager database preferred.
- Ability to move about and stand for up to 10 hours; Ability to bend, stretch, and use arms and hands to grip, move, hold and manipulate and assemble travel display equipment.
- Ability to lift up to 40 lbs.
- Ability to travel
o Approximately 10 trips per year
o Approximately 25 travel days per year
o Approximately 15-20% of working time.
